The Approval Flows functionality allows you to streamline your approval process, from start to finish. As an administrator, you can create and manage approval flows directly from the navbar app by navigating to the Approval Flows page.
Each Approval Flow is comprised of 5 key components:
-
Adding Approvers block: In this block, you define the individuals who need to approve the request.
-
Actions Upon Approver Addition: This block defines the actions to be taken after the approvers are added.
-
Actions Upon Approval: This block outlines what will happen once the approvers have approved the request.
-
Actions Upon Denial: In the event of a denial, this block defines the actions to be taken.
-
Actions in Case of No Approver Addition: This block outlines what will happen if none of the approvers are added. This can occur when using conditional approval groups and none of the groups meet the conditions for approver addition.
The Adding Approvers block is the only mandatory component in the Approval Flow. The remaining blocks are optional, but provide the flexibility to specify the desired outcomes for various points in the approval process.
There are several actions you can perform within each block, including:
- Adding and removing tags to improve reporting or trigger Zendesk triggers
- Updating ticket properties using Zendesk's Ticket API
- Sequencing another approval flow to create a multi-step process
- Adding private or public comments to provide direction or update the requester
Once you have configured the Approval Flow, all you need to do is trigger its start, and it will automatically guide the request through the entire approval process.
